Nailsea Carnival Procession - Terms and Conditions of Entry
1. Eligibility & Entry
1.1 The procession is open to individuals, groups, schools, community organisations and local businesses. All entries must fall within one of the published procession categories.
1.2 All participants must register in advance by the stated closing date. The organisers reserve the right to refuse, withdraw or remove any entry at their discretion. Late entries may not be accepted.
1.3 By participating in the Carnival procession, entrants acknowledge and agree to being included in photographs or videos made during the event. Nailsea Carnival Committee or 1st Nailsea Scouts may use any such photographs or videos for promotional or other purposes. 2. Safety & Conduct
2.1 Participation is entirely at the entrant’s own risk. Neither Nailsea Carnival Committee (“the Committee”) nor 1st Nailsea Scouts accepts any liability for injury to persons or for loss or damage to property arising from participation in the procession or attendance at the Fayre. Entrants are responsible for ensuring they have appropriate insurance where required.
2.2 All procession entrants must comply with instructions given by members of Nailsea Carnival Committee or the procession marshals at all times.
2.3 All costumes, floats and vehicles must be safe, stable and suitable for a public procession. Sharp edges, exposed fixings, glass, naked flames, fireworks, smoke machines or pyrotechnics are not permitted.
2.4 Any entrant using a generator, air compressor or similar equipment must provide a suitable drip tray beneath the equipment at all times and have an appropriate fire extinguisher immediately available.
2.5 Vehicles and floats must be driven or managed by competent adults and must comply with all instructions given by procession marshals.
2.6 Participants must behave in a safe, respectful and family-friendly manner at all times. Alcohol is not permitted for participants during the procession. The Committee reserves the right to remove any entry whose behaviour is deemed unsafe, inappropriate or disruptive.
2.7 Animals are not permitted in the procession unless prior written permission has been given by the organisers.
3. Route Management & Music
3.1 To ensure the smooth running of the procession, entries must keep moving and must not stop along the route, including to undertake performances or hand out/collect equipment, unless instructed to do so by a marshal.
3.2 Any music or amplified sound must be kept at a reasonable level so as not to interfere with other groups, announcements or performances.
4. Age & Supervision
4.1 Children under 16 years of age must be supervised by a responsible adult at all times. Pre-school, school and youth groups must ensure adequate adult supervision appropriate to the size and age of the group. Group leaders are responsible for the safety and behaviour of their participants.
5. Vehicles
5.1 Entrants intending to use vehicles, floats or trailers must also comply with the additional vehicle-specific terms and restrictions published separately, which form part of these Terms of Entry. The additional restrictions and terms applicable to vehicles which can be found here.
6. Judging & Event Changes
6.1 Judges’ decisions are final and awards given based on criteria determined by the carnival committee.
6.2 The procession will take place regardless of weather unless conditions are deemed unsafe by the organisers. The organisers reserve the right to amend arrangements, timings or routes if necessary.
